Introduction

The Calendar allows you to view events occurring on campus as well as manage your own personal online calendar. By default, you will have access to the following calendars in the "Choose Calendar to Display" dropdown menu:

Calendar Navigation

NOTE: Avoid using the browser's "Back" and "Forward" buttons.

Month View – Displays calendar information in month format.

Week View – Displays calendar information in week format.

Day View – Displays calendar information by day in a list format.

Previous – Takes you to the previous month, week, or day, depending on what view you are in

Next – Takes you to the next month, week, or day, depending on what view you are in

Go To – Selecting Go To brings up a pop up window that allows the user to jump to a specific month and year by selecting radio buttons.  Select the appropriate month and year then click the “GO” button at the bottom of the pop up window.

Choose Calendar to Display – Allows you to select a calendar to view

Current – Takes you to the current month, week, or day depending on the view you are in

The Views

Form View and List View:

Form View displays calendar events in table format, whereas List View displays calendar events in a list format.

The Form View or List View hyperlinks are available in the second maroon navigation bar.

Form View and List View are available options for both the Week View and Month. Day View, by default, only appears in List View.

Brief View and Detail View:

Brief View and Detail View are available selections under Preferences. The Preferences hyperlink is located on the first maroon navigation bar. Refer to the Preferences section for more information regarding how to set calendar preferences.

Brief View displays the month in Form View with horizontal bars to indicate the number of scheduled events for each day. One bar is located in each day, and each colored block in the bar represents an event scheduled for the day. A solid bar indicates more than ten events scheduled.

Detail View displays the month and week in Form View with scheduled events spelled out in text for each day.

Adding Events to Your Personal Calendar

  1. Select an option to add an event. You can make one of the two selections:


  2. The Add a New Event Window will appear.
  3. Using the drop down menu for Calendar Layer, select either work or personal layer.
  4. In the Description field, enter a brief description or title for the event. This is what you normally see when you display a calendar in Form View with Detail, so make the explanation short but descriptive.
  5. Use the Detail field to elaborate on the event. This is not a required field.
  6. Select the Event Type from the drop down menu. NOTE: If you select "reminder" for the event type, the event will not be associated with a time or location. Instead, it will appear on the calendar with two asterisks (**) preceding the event description.
  7. Enter an event contact and an event URL in the next lines if you have this information. These are not required fields.
  8. Select the “Next Screen” button to continue scheduling your personal event.
  9. Select the Date, Event Start Time, and Event End Time. (The "reminder" event type only requires that you select the date.)
  10. Select "Schedule Event." The event immediately appears on your personal calendar.

Editing an Event on Your Personal Calendar

  1. Click on the event to view the event in List View.
  2. To the right of the event, you will see two buttons—edit and del. Select the “edit “button.
  3. The Edit an Existing Event screen will appear.
  4. Make any necessary revisions to the text and select "Next."
  5. Make any necessary revisions to the date and times and select "Schedule Event."
  6. Your revisions appear immediately.

Deleting an Event on Your Personal Calendar

  1. Click on the event to view the event in List View.
  2. To the right of the event, you will see two buttons—edit and del. Select the “del“button.
  3. The Delete an Existing Event Screen will appear.
  4. If you do not want to delete the information permanently, select "Cancel." If you want to permanently delete the event from your personal calendar, select DELETE.
  5. Your event is deleted from the calendar.

Knowing the Difference Between Calendars and Layers

Why Do I Need to Know the Distinction?

In order to understand how to create your own calendars, it is helpful for you to fully comprehend the relationship between layers and calendars.

A calendar is comprised of one or more layers.

Transparencies Analogy

Here’s an analogy to help you visualize how layers function: imagine the layers of a calendar to be clear sheets of transparencies. Now imagine that each transparency sheet has a grid drawn on it with events written in certain boxes, or dates.

Let’s apply this line of thinking to the AASU Calendar System. Your personal calendar, by default, contains two layers: personal layer and work layer. If you just want to see your work schedule, you can choose to view only the work layer, or, to go back to our analogy, you can choose to remove the transparency with your personal schedule written on it.

The following illustration exemplifies how layers form calendars. In this example, two different public layers are shown on the AASU Public Calendar; however, the AASU Public Calendar contains many more public layers.

Default Layers

There are default layers for both event calendars and location calendars:

Event Calendars:

Incoming Layer—contains pending requests for events
Public Layer—contains announcements and scheduled events targeted for faculty, staff, students, alumni, and the Savannah community; each event public layer appears on the AASU Public Calendar.
Personnel Layer—contains announcements and scheduled events targeted for faculty and staff only; each event personnel layer appears on the AASU Personnel Calendar.
Internal Layer—contains internal information that doesn't need to appear on a public calendar, such as setup and break down times for events

Location Calendars:

Incoming Layer—contains pending reservation requests for a location; after requests are approved or declined, the request is removed from the incoming layer
Reservations Layer—contains scheduled reservations for a location

Creating Calendars

In addition to the default calendars for the calendar system, you can create your own customized calendars to display information that is pertinent to you.

  1. Select "Maintenance" on the bottom navigation bar.

  2. Select "Create Calendar."
  3. Type a Name and Description for your calendar. (What you type in the Name field is what will appear in your “Choose Calendar to Display” dropdown menu.)
  4. If you select "include incoming layers," the list of available layers will include all incoming layers for you to be able to place on a calendar.
  5. Click on the "Select Layers" button.
  6. You will then see a listing of layers you can select to place on a calendar. Click in the boxes to check the desired layers for your calendar.

  8. To complete the customized calendar, select the “Create Calendar” button at the bottom of the screen.
